Workload staffing calculator

Enter task volumes and handling times to see required hours and full-time equivalents.

Your inputs

All volumes and hours must cover the same period, for example one month.

Task 1

Use 100% if indirect time is already accounted for. 80% is only an example.

How it works

How is staffing calculated from volumes?

For each task: volume × minutes per case ÷ 60. Divide the sum by one full-time worker’s task capacity in the same period. For example, 400 cases × 15 minutes equals 100 hours; at 128 task hours per FTE, that needs about 0.78 FTE.

What is the direct task percentage?

It is the share of available hours left for the listed tasks. Use 100% if indirect time is already included in your time estimates or capacity figure. The 80% example is not a universal benchmark.

Does an average cover peak demand?

No. Volumes and handling times should represent your department and period. The tool does not model queues, service levels, seasonal peaks or required qualifications. Do not compare weekly volumes with monthly capacity.
